How to Submit a Paper

All papers for peer review are processed on the ScholarOne Manuscripts Web site. Tutorials and general instructions for using ScholarOne Manuscripts are available and you are STRONGLY URGED to take the online tutorial for Authors and Reviewers or download the PDF Author’s Guide. If you need a style guide, there is an icon at the top right of the page.

If this is the first time you have used ScholarOne Manuscripts, you may need to set up an account. If an account has already been set up for you, ScholarOne Manuscripts will return the account results. Check to make sure all information is correct. The correct e-mail address is absolutely CRITICAL – it is your system ID. Please use only one e-mail address for your ID so it is easy for you to find all your paper files. Papers are linked to an e-mail ID not a name.

You will also need to choose a password. Follow the ScholarOne Manuscripts guidelines – it will be case sensitive and must contain two numerals. You will need to do this only once. Please read all the instructions on the pages where you fill out the forms.

The procedure for submitting meeting preprints and non-meeting papers for review is exactly the same. Your paper should be submitted as a Word document (.doc). You may submit the figures as part of the main document or upload them separately as .doc, .jpg or. tif files — NOT PowerPoint or Excel.

You must check to be sure your paper has successfully converted to a PDF. If it does not, disable all Macros, be sure there are no track-change ‘balloons’ in the file, remove all hyperlinks and make sure the fonts and equations (in English) are embedded in the text.

LZW compression is acceptable if the figures are uploaded separately, but if compressed figures are embedded in the Word file, the file will not convert to PDF. If these steps do not solve the problem, contact the ScholarOne Manuscripts help center by clicking on the orange “GET HELP NOW” tab at the top of each screen. They can answer all questions but are especially helpful with computer software, e-mail programs and IT departments. Be sure that all pop-up blockers are turned off and do not use AOL to access ScholarOne Manuscripts.

After your paper is successfully uploaded and converted to PDF and HTML formats, you will need to send SME a signed and completed copyright form. A blank form is attached to the confirmation e-mail you will receive when your paper is successfully uploaded. Fill out and sign the form. Then fax (303-973-3845) or e-mail the form to renner@smenet.org. Once the paper is successfully uploaded and the copyright form is received by SME, the paper will begin its review.

Deactivate macros by selecting 'All' text > holding down the shift+Ctrl+F9 key

If a Word file has track changes on and it is not converting to PDF, follow these steps to turn off track changes balloons:

  • Open your Word document.
  • From the menu bar, select Tools, then Options.
  • For the setting "Uses Balloons (Print and Web Layout)" select Never, then click OK.
  • Save your file, and reupload to ScholarOne Manuscripts.


Steps to save Word doc 2003 with embedded fonts:

  • Open file in Word
  • Select TOOLS menu
  • Select OPTIONS from the drop down
  • Click on the SAVE tab
  • Activate (click on) EMBED TRUE TYPE FONTS
  • Save and reupload file


Steps to save Word doc 2007 with embedded fonts:

  • Open file in Word
  • Click: "Save As"
  • Click 'Tools' (bottom left)
  • Click on 'Save Options'
  • Under 'Preserve Fidelity?', select: Embed Fonts and click both boxes that appear beneath to ensure fonts that are used only in this file are saved.
  • Save and reupload file


If LZW compression is used in TIF images embedded in a Word document, they will cause the PDF conversion to terminate prematurely and display and error message. To solve the LZW Compression Image problem, follow these steps:

  • Cut the TIF image from the manuscript, and resave the image in a photo editing application such as PhotoShop or IrfanView.
  • Resave the image without LZW compression.
  • Paste the new image back into the Word document.
  • Save the Word document and reupload.
